Privacy Notice

 

The Center for Latin American Monetary Studies, A.C. (“CEMLA”), located at Durango 54, Colonia Roma Norte, Alcaldía Cuauhtémoc, ZIP Code 06700, Mexico City, Mexico, is responsible for the processing and protection of the personal data it collects, uses, retains and, where applicable, transfers, in accordance with the applicable legislation on the protection of personal data held by private parties.

This Privacy Notice informs data subjects about the processing of their personal data in connection with CEMLA’s institutional, academic, editorial, administrative, contractual, tax, technological and communication activities.

1. Personal data that CEMLA may collect

CEMLA may process personal data of participants in events, courses, seminars, conferences, meetings and institutional activities; speakers, lecturers, researchers, authors, reviewers, editors and collaborators; representatives of central banks, financial authorities, international organizations, academic institutions, member, associate or collaborating institutions; suppliers, contractors, consultants and service providers; subscribers to publications; visitors to its facilities; and users of its websites, platforms, forms or digital media.

Depending on your relationship with CEMLA, the personal data processed may include: full name; institution; position or job title; department or area; country; institutional or tax address; email address; telephone number; professional or academic data; curriculum vitae; biography; photograph, image, voice, audio, video or screenshots; tax and billing data; banking data necessary for payments, collections, reimbursements or expense verifications; travel or lodging data when CEMLA is involved in their management; attendance records; certificates; and technical data derived from the use of websites, digital platforms, cookies or similar technologies.

As a general rule, CEMLA does not collect sensitive personal data. If it is necessary to process information related to accessibility requirements, reasonable accommodations, dietary restrictions, health, emergencies or logistical support, such processing shall be limited to the minimum necessary and the corresponding consent shall be requested when required by applicable law.

2. Purposes of processing

Personal data may be used for the following primary purposes:

  1. To manage registration, enrollment, participation, attendance control, access, certificates, logistical communications and follow-up for seminars, conferences, courses, meetings, forums, internships and other activities organized or co-organized by CEMLA.
  2. To verify, where applicable, the institutional, professional or academic profile of participants, especially in activities addressed to central banks, financial authorities, international organizations, member, associate, collaborating or related institutions.
  3. To maintain institutional communication with representatives of central banks, financial authorities, international organizations, academic institutions, member, associate and collaborating institutions, and other CEMLA counterparts.
  4. To manage the participation of speakers, lecturers, researchers, authors, reviewers, editors, committee members, networks, working groups, research projects or technical cooperation activities.
  5. To administer editorial processes, receipt of articles, reviews, revisions, publications, authorizations, assignments, licenses, biographies, academic profiles, editorial communications and dissemination of publications.
  6. To manage subscriptions, distribution and delivery of journals, newsletters, publications, research papers, reports, academic materials or institutional content.
  7. To manage contractual, administrative, accounting, budgetary, tax and financial relationships, including payments, collections, billing, expense verifications, reimbursements, travel expenses, procurement of goods or engagement of services.
  8. To comply with legal, tax, accounting, regulatory, contractual, administrative or auditing obligations, or requirements from competent authorities.
  9. To administer institutional databases, directories, historical participation records, administrative files and internal systems necessary for CEMLA’s operations.
  10. To document institutional activities, whether in person, virtual or hybrid, through photographs, screenshots, audio, video, recordings, broadcasts, records, reviews, reports, publications, social media, websites or dissemination materials related to CEMLA’s functions.
  11. To ensure the security of facilities, persons, property, information, systems, technological platforms and institutional records.

Additionally, CEMLA may use your personal data to send invitations to future activities, disseminate publications, newsletters, calls, programs or institutional content, maintain professional contact networks and prepare internal statistics on institutional, thematic or regional participation. These secondary purposes are not essential to the main relationship with CEMLA. You may object to them by sending an email to avisos@cemla.org.

3. Transfers of personal data

CEMLA does not sell, rent or commercialize personal data.

CEMLA may share personal data, within or outside Mexico, only when necessary to fulfill the purposes described in this Notice, to comply with legal or contractual obligations, or in the cases permitted by applicable law.

Data may be shared with co-organizing institutions, event venues, central banks, financial authorities, international organizations, member, associate or collaborating institutions, technology service providers, videoconferencing platforms, email, event management, web analytics, content hosting, logistics, courier, lodging, transportation, financial institutions, banks, auditors, accounting, tax or legal advisors, publishing houses, publication platforms, repositories, indexes, competent authorities and third parties with whom there is a legal relationship necessary to fulfill the stated purposes.

CEMLA may use technological services such as Microsoft Teams, Zoom, Mailchimp, Google Analytics, YouTube or other equivalent services. When such services involve the storage, processing, transmission or access to information from servers located outside Mexico, the data may be processed by international technology providers engaged by CEMLA, exclusively for the provision of the corresponding services and under conditions of confidentiality, security and data protection.

When a transfer requires consent, CEMLA shall request it or make the corresponding mechanism available.

4. ARCO rights, revocation and limitation of use

You have the right to access your personal data; request its rectification when it is inaccurate or outdated; request its cancellation when you consider that it is no longer necessary for the purposes that justified its processing; and object to the processing of your data for specific purposes.

You may also revoke the consent that you may have granted, as well as limit the use or disclosure of your personal data for secondary purposes.

To exercise these rights, you must send a request to avisos@cemla.org, indicating your full name, the means by which you wish to receive a response, the right you wish to exercise, a clear description of the personal data related to your request and, where applicable, documents proving your identity or legal representation.

5. Retention, security and confidentiality

CEMLA shall retain personal data only for the time necessary to fulfill the purposes that justified its processing and to comply with legal, tax, accounting, administrative, contractual or auditing obligations, or applicable limitation periods.

CEMLA maintains administrative, technical and physical security measures aimed at protecting personal data against damage, loss, alteration, destruction, unauthorized use, access, disclosure or processing. The persons involved in the processing of personal data shall maintain confidentiality even after the conclusion of their relationship with CEMLA.

6. Cookies and similar technologies

CEMLA’s websites, microsites, electronic forms and digital services may use cookies, web beacons and similar technologies for technical, statistical, analytical, security, functionality and user experience improvement purposes.

Through these technologies, data such as IP address, device identifiers, browser type, operating system, language, date and time of access, pages visited, browsing time, selected links, referring site and approximate location derived from the connection may be collected.

CEMLA may use third-party tools, including Google Analytics, YouTube or other equivalent tools. Users may configure their browsers to accept, reject, block or delete cookies; however, disabling certain cookies may affect the operation of some sections, forms or digital services.

7. Changes to the Privacy Notice

This Privacy Notice may be modified due to legal, regulatory, administrative, technological, operational or institutional changes. Any modification shall be communicated through CEMLA’s institutional website, in the corresponding Privacy Notice section.
